• Provide administrative support in daily operations to Executives
including email and phone correspondence
calendar management
and travel arrangements. • Providing assistance by drafting
formatting and proofreading responses to emails
routine memos
letters/correspondence and reports in liaison with the Directors. o Provide efficient administrative and logistical support to the Senior Leadership. o Ensuring effective calendar and meeting management by planning and scheduling meetings and tasks as required
including inviting relevant stakeholders
and coordinating all required meeting documentation. o Update the management calendars with key engagements and deliverable deadlines
implement reminders to relevant stakeholders to submit requirements
track compliance with calendar
and coordinate that all calendar deliverables are received on time by the agreed date. o Draft meeting documentation including agendas
minutes
resolutions
and meeting invitations in a timely fashion. o Manage the quality of all documentation being prepared by working with the Managers to prepare documents
including reports and memos
checking for accuracy
relevance and completeness. o Coordinate travel
accommodation
and transport for all staff and visitors. o Manage service providers by clearly defining contractual requirements
managing delivery against defined requirements
and addressing non-delivery as and when required. o Ensure that events are successfully attended by drafting invitations and reminders
distributing within set timelines. o Reconcile event spend post event by collating all expenses and reconciling with allocated event budget
addressing issues. o Provide any other administrative support by receiving requests
addressing
resolving and completing as and when required.
