The Executive Assistant provides advanced administrative support to the Chief Operating Officer and other senior leaders including the coordination of a broad range of deliverables and workflows within the Land Acquisition team. This includes
but not limited to
email and calendar management
meeting coordination
travel arrangements and expense management
as well as general administrative support.Post secondary education in administration or related field 3-5 years’ experience as an Executive Assistant or Administrative Assistant
supporting executive level leaders or office management Advanced skills in MS Office including Word
PowerPoint
Outlook and Excel Exceptional communication and organizational skills with the ability to build relationships with team members
executives
and external partners
Excellent attention to detail with the ability to handle confidential information appropriately
Provide advanced administrative support including
but not limited to
email and calendar scheduling management
creating and updating presentations for internal and external meetings
advanced formatting of files
understanding and maintaining company brand standards in all correspondence
maintain office files and filing system
and handle incoming and outgoing correspondence Manage travel arrangements
accommodations
and itineraries as well as completing expense reports Manage calendars in collaboration with other Executive Assistants
internally and externally
to coordinate scheduled meetings with internal and external clients as well as event management when required Advanced presentation and formatting in PowerPoint including the incorporation and formatting of charts
graphs
images as well as organizing agendas
itineraries
and document meeting minutes Read
analyze and filter all incoming emails
memos
correspondences and requests and address based on significance and urgency with sound judgement on behalf of the COO and other senior leaders
